
Use the approved reference
Check that the order reference, model, color and configuration list refer to the same version. Keep any sample changes visible in the final record. Do not use a different model photograph as a substitute for the shipment reference.
Record the packing arrangement
Discuss complete-vehicle or agreed knock-down supply, protective materials, loose accessories and carton identification. Ask for actual packing dimensions and weights when needed. Existing packing photographs show an arrangement, not a guarantee that every order uses the same one.
Agree a document list
List the product specification, packing information, instructions and applicable supporting documents required by the project. Assign a person to confirm each item. Market-specific document requirements should be reviewed with the relevant team before shipment.
Keep a handover record
Keep confirmed documents, packing photographs and contact details under one order reference. Record remaining questions and the next responsible person. Shipping arrangements and dates remain subject to the agreed order and logistics plan.
