Identify the model and market
Provide the model reference, proposed configuration and intended destination. If several configurations are being considered, list them separately so supporting files can be checked against the correct version.
Explain the purpose of the request
Tell the team whether the files are for product selection, distributor review, service preparation or a specific document review. This helps separate general brochures from model-specific specifications and applicable original documents.
Check the document identity
For any supplied certificate or report, check its holder, issuer, reference, scope and relevant dates with the responsible team. A document image alone does not establish applicability to every vehicle or destination. Use the original file for review.
Keep a versioned record
Store the confirmed files with the model reference and review date. Record unavailable items and the person following up. Where documents are not yet supplied, keep the request open rather than substituting a decorative image for an original.
